All employees start out as part-time. Part-time employees can achieve full-time status by averaging 23 clients per week over a 4 week period.
Once full time status is achieved, the employee will select benefits in Gusto (health, dental, vision) and outside of Gusto (CEU subscription and full-time supervision stipend).
Once full-time status is achieved, full-time clinicians must maintain a minimum of 23 billable hours per week (on average) over the previous three months (quarter) to remain eligible for receiving benefits.
Our calculation assumes 15 minutes of documentation for each client session (23) = (5.75 hrs per week) to total 28.75hr each week.
Most people have a schedule with 28-30 appointments available per week to hit their target.
Our calculations are the total number of appointments that quarter divided by 12 total weeks. Not 12.2 or 12.5; the actual number of weeks that are typically in a quarter.
This calculation does not take into account 4 weeks of the year. You'd have to take more than 4 weeks off in the year for time off to impact your calculations.
90791, 90837s, and even 45 minute sessions (90834s) are counted as 1 client hour. 90832 is counted as .5.
If you are under one quarter you have until the next quarter to meet target.
Blocked Appointments: Be mindful of blocked appointments. It's the same as taking 1 hour of PTO and can unintentionally add up.
Poor Retention: It will be difficult to hit targets when not retaining new clients.
Back to Back Time Off: I'm an advocate of time off but the reality still exists that back to back time off can negatively impact retention.
Not Making Up Time Off: If you have already taken significant time off you may need to make up time taken off
Higher Than Average Cancellation Rate: Not charging clients for cancalations can lead to this.
* I discuss benefits and the waiting period: waiting period is the first day of the month following 60 days after employment. Don't forget to select your benefits through Gusto.
*When benefits are terminated - pending on the timing, there's typically still coverage through the month.
